1. Who We Are

The UCP Calgary-Varsity Constituency Association ("we," "us," or "our") is the registered constituency association of the United Conservative Party of Alberta for the electoral district of Calgary-Varsity. We are a volunteer-led, non-profit political organization registered under the Election Finances and Contributions Disclosure Act (Alberta).

This Privacy Policy applies to personal information collected through our website at ucpcalgaryvarsity.ca, our newsletter, event registrations, volunteer signups, and any other interaction you have with our association.

2. Applicable Laws

We are committed to protecting your personal information in accordance with the following laws:

  • Personal Information Protection Act (PIPA) — Alberta

  • Canada's Anti-Spam Legislation (CASL)

  • Election Finances and Contributions Disclosure Act — Alberta

3. What Personal Information We Collect

Information you provide directly

We collect information you voluntarily provide, including your name, email address, phone number, mailing address or postal code, messages submitted through our contact form, volunteer preferences and availability, event RSVP and registration details, and any information included in event submissions you send us.

Information collected automatically

When you visit our website, we may automatically collect your IP address (stored in hashed form where possible), browser type, pages visited and time spent, referring website, and general geographic location at the city or region level. We do not use advertising trackers or cross-site tracking cookies.

Information we do not collect

We do not collect payment card numbers, Social Insurance Numbers, health information, or government identification.

4. How We Use Your Information

We use your personal information only for the purposes for which it was collected, including:

  • Sending our newsletter and constituency updates (with your explicit consent)

  • Coordinating volunteer activities

  • Responding to your questions and inquiries

  • Notifying you of upcoming events you have expressed interest in

  • Reviewing and approving event submissions

  • Meeting our legal obligations under Alberta election finance law

  • Maintaining our association records

We do not use your personal information for automated decision-making or profiling.

5. Legal Basis for Processing

Under PIPA (Alberta), we collect, use, and disclose your personal information based on your consent provided at the time of submission, our legitimate interests as a constituency association, and our legal obligations under Alberta election finance reporting requirements. You may withdraw your consent at any time.

6. How We Share Your Information

We do not sell your information. We never sell, rent, or trade your personal information to any third party, including commercial advertisers or political data brokers.

As a constituency association of the United Conservative Party, we may share your contact information with the provincial party office for member communications, subject to your consent. If you do not wish your information shared with the provincial party, please contact us.

We may share your information with trusted service providers who assist us in operating our website and communications, including our email delivery provider and web hosting provider. These providers are contractually required to protect your information.

We may disclose your information where required by law, including to Elections Alberta for financial reporting and compliance purposes.

7. Data Storage and Canadian Data Sovereignty

Your personal information is stored on servers located in Canada. We do not transfer your personal information outside of Canada without your consent, except where required by law. We take reasonable technical and organizational measures to protect your information, including encryption in transit (HTTPS) and access controls.

8. Consent and CASL Compliance

All electronic communications from our association are sent only to individuals who have provided express consent. Each consent record includes the date and time consent was given, the channel through which it was obtained, and a hashed record of the IP address. Consent records are maintained as permanent, unalterable records.

Every message we send includes our full legal name and mailing address, and a working unsubscribe mechanism. Unsubscribe requests are honoured within 10 business days.

9. Your Rights

Under PIPA (Alberta) and PIPEDA, you have the right to:

  • Access — request a copy of the personal information we hold about you

  • Correction — ask us to correct inaccurate or incomplete information

  • Withdrawal of consent — withdraw consent for any processing based on consent at any time

  • Complaint — file a complaint with the Office of the Information and Privacy Commissioner of Alberta

10. Cookies and Tracking

Our website uses cookies solely for analytics and session management. We do not use advertising cookies, third-party tracking pixels, or social media tracking tools. You may disable cookies through your browser settings.

11. Retention

We retain your personal information only as long as necessary for the purposes described in this policy, or as required by law:

  • Newsletter subscribers: until you unsubscribe

  • Volunteer records: for the duration of your involvement and two years thereafter

  • Contact form submissions: up to 12 months after the matter is resolved

  • Financial and donation records: as required by the Election Finances and Contributions Disclosure Act (typically seven years)
